8/17/12 Committee meeting minutes

In attendance - Juan, Rob, Adam, and Jon

If you have the committee agenda, I will do my best to follow that below!

1. From our various meetings we had discussed who we might feel it would be best to bring onto the committee to contribute. During the week following the last meeting Jake jumped on board. At the meeting Rob informed us (as did Jake in a thread) that Jake be able to help us with securing speakers for the event. We were informed that Jake would be help to help with trying to bring in companies from outside of the United States who otherwise would not attend. He may be able to also help with finding a way to cover speaker fee's and such. Juan and Jon also would like to help with this, as well as with vendor recruitment.

2a. We went over the trip that Steven will be taking, to come visit us the weekend of September 7th.

i. Adam and Juan will be able to attend the morning session/tours with Steven and Paul on Friday. Rob and Adam will be attending the afternoon session/tours with Steven and Paul. Nothing was said about dinner on this initial night.

ii. Saturday morning will be the Denver Aquarium tour that Adam and Derek will be attending. We spoke about maybe trying to hold a VIP dinner at some point during MACNA at the Aquarium instead of a "main" dinner with everyone, as trying to get everyone involved to/from the Aquarium would be an enormous endeavor.

iii. Juan will look into restaurants near Stevens hotel that we might be able to visit on Saturday night. Depending on Stevens traveling schedule (he said that he hadn't received the details on that yet) this may be our last dinner with him. If so, this would be the time to speak with Steven about any questions, budget issues, or anything else we can think of as far as MACNA goes. If he flies out later on Sunday than this dinner will be informal.

iv. If there is time, we would like to meet sometime on Sunday morning. If Steven is able to stay and chat with the committee a little longer on Sunday, also depending on what he plans, we might meet for a breakfast or brunch and go over those questions from iii. Saturday or Sunday would also be a great time to expand on the shell budget that is being made. Also, there is a thread for Saturday and Sunday discussions, please put your input there.

3. Jon informed us that the bids will be Friday morning between 830 - 930AM.

3a. One of Adams biggest questions here was the formation of the club. We decided that we could list this at the year 2000. Though it was not technically MASC at the time, it was still the exact same club, just under a different name. Also, Jon and Juan will meet likely on Thursday so that they can finalize the bid questions. Once these are finished they will be submitted to Adam and he will plug them into the powerpoint presentation.

4. Adam, Jon, Juan, and Jake will give the presentation. The club has agreed to pay for the fee's it will take to send Adam to MACNA to do this, Jon, Juan, and Jake will already be there for work. Rob will be there on Friday, unfortunately at the moment it won't be until later in the day. We predicted the approximate cost of the fee's to send Adam would be between $350 - $500.

Aside from those items that were on the agenda we also spoke about:

Rob will do his best to sit in on the next MASNA board meeting as nobody was able to attend the last one.

Rob asked if we could post a thread with all of the committee members' contact information. There is a thread made already, please if you are a part of the committee, enter your information into the thread.

Organization in the MACNA forums was also addressed. Please, lets try and keep all ideas and topics seperate. This ensures that we are as organized as possible, and makes it so that we don't have to dig through multiple threads in order to find information. The BOD is able to moderate this, and will move around/delete posts in order to ensure that everything stays organized.

Rob will be speaking with Michael (which I believe has already happened) about the NDA documents, as well as to look over the MASNA contract.

Juan, and ANY other committee member that would like to help, will be looking over the MACNA logo some more. The more and more input we can get on this, the better. There should also be a thread already up for this, so please if you have an idea let us know.

We all brought up the fact that we should all be having fun!! We should keep a little "levity" in all that we do, as long as it doesn't effect the integrity of our work. Yes, there will be a lot of work to be done, and yes it will take a lot of time to do it, BUT remember what we are doing. We are planning to have the biggest and best hobbyist event in the US!! Let's have some fun.

The meeting organization was also brought to everyones attention. We will now schedule the next meeting, at the previous meeting, in order to ensure that we are not scrambling to find a place to meet at the last minute. With that being said, the next meeting will be at Jon's home in Parker, and it will be at 7PM. There is also a thread for this, so please let us know if you will be able to attend. With this planning, we closed the meeting.
